This Privacy Policy explains how LETWISH NETWORK (Reg. No. 202503055588, KT0586571-K) ("Letwrites", "we", "us") handles personal information in connection with our website letwrites.com and our paid/managed services. It does not apply to the open-source software you run yourself — see the box below.

    The most important point: we don't see your knowledge.
    Letwrites is self-hosted. The Community edition (and self-hosted paid editions) run entirely on your servers, on your domain. Your wiki content, your users, and your documents never reach us. This policy mainly covers our marketing website and, if you buy a paid plan, your account and billing details.
  

1. Information we collect

Website usage — basic analytics (pages viewed, approximate region, device/browser) and cookies, if enabled. See "Cookies" below.
Contact & inquiries — if you email us or submit a form, the information you choose to send (name, email, message, company).
Account & billing (paid plans only) — name, work email, organization, and subscription details. Payment is handled by our payment processor; we do not store full card numbers.
License activation (paid editions) — a license key and minimal, non-content telemetry needed to validate the subscription (e.g., instance identifier, edition, seat count). We do not collect your documents or end-user data.

2. What we do NOT collect

We do not collect, store, or have access to the content of your self-hosted Letwrites instance: your wiki pages, attachments, your organization's users, their permissions, or the audit log. Those live on your infrastructure.

3. How we use information

To operate and improve the website and our services.
To respond to your inquiries and provide support.
To process subscriptions, billing, and license validation.
To send service and (with consent where required) occasional product emails. You can opt out anytime.
To comply with legal obligations and protect against fraud or abuse.

4. Legal bases

LETWISH NETWORK is established in Malaysia, so the Personal Data Protection Act 2010 (PDPA, Malaysia) applies to our processing. For visitors in other regions we also honour applicable laws (e.g., the EU/UK GDPR, California CCPA/CPRA). Where applicable, we rely on: contract (to provide paid services), legitimate interests (to run and secure our site/business), consent (for optional cookies/marketing), and legal obligation.

5. Sharing

We do not sell personal information. We share it only with service providers acting on our behalf, under contract, such as: cloud hosting, web analytics, a payment processor, and email/support tooling. We may disclose information if required by law.

6. Cookies

The website may use essential cookies and, if enabled, privacy-respecting analytics. You can control cookies via your browser.

7. Data retention

We keep personal information only as long as needed for the purposes above or as required by law (e.g., billing records). Inquiry emails are kept for 24 months; account data for the life of the account plus 24 months.

8. Your rights

Under the Malaysian PDPA — and, where applicable, the GDPR (EEA/UK) or CCPA/CPRA (California) — you may have the right to access, correct, delete, port, or restrict your personal information, withdraw consent, and object to certain processing. To exercise these, contact us at hello@letwrites.com. You may also lodge a complaint with the relevant authority (in Malaysia, the Personal Data Protection Department / JPDP).

9. Security

We use reasonable technical and organizational measures to protect the limited personal data we hold. No method of transmission or storage is 100% secure.

10. International transfers

If we transfer personal data across borders, we use appropriate safeguards (e.g., Standard Contractual Clauses) where required.

11. Children

Our services are for organizations and are not directed to children under 16. We do not knowingly collect their data.

12. Changes

We may update this policy; we'll revise the "Last updated" date and, for material changes, provide notice.
